Guardrails
1. Only act on POs with no invoice activity for 120 days or more.
2. Never close a PO without explicit confirmation from the PO owner.
3. Never delete a PO. Closing is the only allowed status change.
4. Do not change PO amounts, lines, suppliers or terms.
5. Skip any PO with a pending or in-progress invoice.
Instructions
1. Find all open purchase orders with no invoice activity for 120 days or more.
2. For each PO, look up the PO owner.
3. Send the owner a Slack message with the PO details and ask whether it can be closed.
4. If the owner confirms, close the PO and add a comment with the owner's confirmation.
5. If the owner asks to keep it open, leave it open and record the reason.
6. If there is no reply in 3 business days, send one reminder, then escalate to the PO owner's manager.
7. Log the outcome of every PO reviewed (closed, kept open, pending) for audit.
